Relevate acknowledges the existence of the Privacy Act 1998 and respect the privacy of individuals. All information collected for the purposes of providing client services through each of its operating provisions is personal information as defined by the act.
Relevate is committed to supporting the Australian Privacy Principles for the fair handling of personal information, which sets clear standards for the collection, access, storage and use of personal information obtained as part of business operations.
Relevate respects their clients right to privacy as paramount. Policies and procedures are in place to ensure all personal information, no matter how or where it is obtained is handled sensitively, securely and in accordance with the Australian Privacy Principles.
All staff, upon commencement at Relevate, will be required to review this policy as part of their induction.
All Managers at Relevate are required to monitor and adhere to the following Australian Privacy Principles:
Principle One – COLLECTION
Personal information will not be collected unless it is necessary for one or more business functions. Information must be collected by lawful and fair means. Individuals must be made aware of the purpose of collecting the information, how they can obtain access to the information, and what information may be disclosed to other organisations, including its purpose. Information will generally be collected from the individual concerned and if obtained by other means, the individual advised. The provision of the information is voluntary, but if this information is not provided the company may be unable to process your services or enquiry.
Principle Two – USE AND DISCLOSURE
The information being collected is for the purpose of Relevate services. This information assists us in improving our service to clients. The intendant recipients of the information are staff of Relevate only.
Principle Three – DATA QUALITY
Relevate will make its best endeavors to ensure that information is accurate, complete, up to date, and secure.
Principle Four – DATA SECURITY
Personal information should be protected from misuse, loss, unauthorised access, modification or disclosure.
Information which is no longer required will be destroyed by classified waste disposal, shredded or permanently deleted from the company’s database systems. In relation to reference checking, wages information, or general requests for information of a personal nature, consent will be obtained from a client prior to this information being divulged to a third party.
Principle Five – OPENNESS
This policy will be publicly displayed in the reception areas of all premises, and will be accessible via the following website: www.Relevate.com.au.
Principle Six – ACCESS AND CORRECTION
Personal information held will be provided to individuals on request, except in specified circumstances. Reasons for denial of access or refusal to correct information will be provided. Clients have the right of access to, or make alteration to personal information concerning them. Requests need to be directed, in relation to this matter, to the manager of the service being utilised.
Principle Seven – IDENTIFIERS
Relevate creates all of its own internal identifiers and only reference Australian Government identifiers (eg Medicare numbers) as required within the deemed origins of the identifier.
Principle Eight – ANONYMITY
Where it is lawful and practicable, individuals will have the option of not identifying themselves when entering transactions with Relevate.
Principle Nine – TRANSBORDER DATA FLOWS
Outlines how organisations should protect personal information that they transfer outside Australia. This principle does not apply to Relevate as we do not currently operate outside of Australia.
Principle Ten – SENSITIVE INFORMATION
Relevate recognise that higher standards apply to the handling of sensitive information. All sensitive information; including information relating to health, racial or ethnic background, or criminal records; is stored in a secure manner in a locked filing cabinet. All information stored electronically will be stored within secure software accessible only by or through authorised Relevate staff.
This policy is reviewed on an annual basis. It is to be tabled at the appropriate Management Meeting prior to the next review date, for input from management on items such as: opportunities for improvement; changes to the policy and, the effectiveness of the policy and its objectives.
